My HR Zone: guidelines for use

Employees

The menu items on the left of My HR Zone that are relevant to you are “Pay” and “Personal”. The leave functionality is not available at the moment and will be introduced during 2010. This will enable users to request leave via their Line Managers and to view leave entitlement, leave taken and leave balances.

Currently you will be able to:

  • View detail of your earnings, deductions, tax and pension by selecting “Pay”.
  • View your latest pay details by selecting “Last pay details”.
  • View and print your current and or previous payslips by selecting “Pay History” (see instructions below).
  • Check that some elements of your personal data held on the HR system are correct by selecting “Personal”. If you find an inaccuracy please notify Human Resources via email: humanresources@roehampton.ac.uk. Please note that, to maintain secure data integrity, this data cannot be edited online. Later functionality will allow editing of address details.  

How to print a payslip

  • Select the payslip you wish to create, click on “Generate Payslip” and then “Print Payslip” at the bottom of the screen. 
  • You will then be provided with a screen “View Reports”. 
  • Please note that your request is placed in a queue and although you can see your request on this screen, there may be a delay before you can view and print. 
  • You can check if the payslip is available by selecting your report and clicking on print payslip at the bottom right of the screen. A pop-up screen will appear and if the payslip has been generated it will appear in the pop-up screen. You can then print it to your local printer in the normal way. 
  • If the payslip has not been generated, the pop-up screen will be blank and you will need to try again a few minutes later by selecting your request again on the “View Reports” screen. You do not have to go back to the “Pay History” screen to do this.

Line Managers

  • Line Managers are able to view their own personal details as per above if they are in the “view self” mode.
  • In order to view direct reports, deselect the “view self” option at the top the menu on the left of the screen and select “staff list”.
  • In order to view data for an individual employee select an employee from the staff list and then select the detail that you wish to view.
  • Employee data that can be viewed by line managers is limited to name, title, staff number, position title and date joined. Data for employees under “Pay” and addresses cannot be viewed by managers.
  • The leave functionality is not available at the moment and will be introduced in 2010. This will enable managers to view staff leave details and approve/decline leave requests from staff.
