All staff who are employed on a temporary basis should be issued with a pro-forma contract [obtained from the HR Office]. Changes have been made to the forms to accommodate contractual changes that we have implemented in response to recent legislation with regard to fixed-term workers and working-time regulations.
You are reminded that employment on a temporary pro forma should not normally be for longer than 3 months. If there is a continuing need to employ someone you should speak to us in Human Resources about how that may best be achieved. Temporary contracts should not be issued where there is clearly a need for permanent, or longer-term, staff. Nor should they be used to "try out" someone prior to offering them a permanent contract; we have probation procedures for this very purpose.
The written statement of terms and conditions are summarised in the following documents:
The Human Resources and Payroll Departments are currently reviewing procedures and paperwork as part of the introduction of a new computerised HR/Payroll system.
One of the forms which has been revised is the 'Payroll Information Form'. Please would you ensure that the form is attached to any Pro-forma contracts issued directly by Schools, Departments/Services for Visiting Lecturers and all other temporary staff. Payroll staff will not be able to pay any new employee until they have received this form. This replaces the previous 'Payroll Information Form'.
The University is also required, as part of the statutory HESA return, to provide monitoring data [ethnicity, nationality etc] in relation to temporary staff. Please ensure that a copy of the monitoring form is also sent to all VL's and other temporary staff.
All temporary employees are entitled to paid holiday and you should enter into the contract the estimated entitlement based on the contracted hours/weeks.
This can be calculated using the following look up table and with reference to the notice below.
Please note that holiday pay should be paid at the end of the contract, although you should pay the amount accrued at any point if the employee requests paid leave. Following a recent court decision, it is not acceptable to "roll-up" the annual leave allowance into the hourly rate for temporary staff.
