New agent on-boarding summary

Your new agent application has been approved, what happens next?

  • We set up your agency in our internal database, mailing list and other documents.
  • We add your agency on our international student webpage
  • We set up your agency agent on CRM Recruit and CAS Shield Enroly
  • We email you your contract and ask for a signature
  • Once you have signed your contract, you will receive our Agent Handbook, and we will send you the log in details to the Agent Resources Web Portal with access to important resources and materials as part of your Administrative Training.
  • Your assigned Recruitment Officer will also get in touch with you to organise a training session.

Agent Training

Recruitment Training

Your account manager will organise training sessions for you covering: 

  • Entry Requirements and admissions procedures
  • How to apply
  • Planning and targets
  • Appropriate use of university branding and marketing
  • Programmes and academic schools/departments
  • Student experience and support
  • USPs
  • Introduction to key contacts at UOR
  • General overview of our website.
  • Unique or special proposition relative to generic others — e.g. advantages of location, unique content of course /programme, specialist facilities explained.
  • Market specific entry criteria (including pre-sessional English, foundation courses, etc)
  • Costs – approximate amount in local currency
  • Student wellbeing, support, and experience information
  • Student and alumni profiles (ideally from that market)
  • Persona case studies – practical examples for counsellors to work through.

Your training process is ongoing and will involve visits to staff in-country on an annual and often more regular basis. Regular (at least termly) phone calls and e-newsletters will also be provided to ensure you have the most up to date information and are kept abreast of relevant developments. You are expected to visit the University at least every few years to ensure familiarity with the University and its offerings.

Agent Agreement

Your Agreement is valid for 2 years. Please check your Agreement for financial details such as commission submission deadlines, commission percentages and payments, territory in which you are contracted to recruit from, data protection information etc. All this information and more is clearly stated and agreed upon in the contract. If you have any questions about your Agreement, please email agents@roehampton.ac.uk .

Working with third parties (including sub-agents)

If you are working with sub-agents, please send us a full list of these and ensure that:

  • You have valid contracts in place with your sub-agents.
  • University of Roehampton brand guidelines are always adhered to by your sub-agents.
  • You carry out extensive due diligence checks on your sub-agents.
  • You ensure GDPR compliance is maintained by your sub-agents.
  • You ensure that complaints and feedback are managed efficiently.
  • Your sub-agents adhere to “British Council BUILA UK Agent Quality Framework”. The Sub-agents’ counsellors complete a recognised UK-facing education agent training qualification.
  • Your sub-agents adhere to the expected standards as set out in “The National Code of Ethical Practice for UK Education Agents (2021)” and any subsequent amendments.
  • Your sub-agents adhere to “The Good Practice Guide for UK Education Agents Partnering for Quality”.
  • Your sub-agents host the “Student Guide to Choosing an Education Agent” on their website and send a copy to all students who engage their services.
  • Your sub-agents read the “UK higher education providers advice on consumer protection law” (CMA Consumer protection Law) and adhere to it.
  • Your sub-agents formalise their association with their students through a signed agreement. This signed agreement is submitted along with the initial application and is kept linked to the applicant.

Roehampton reserves the right to undertake spot checks to verify the above requirements are followed.

Setting up a new agent on our platforms

Once the contract is signed by both parties, we will set up your agency on the following platforms. You will receive an email with the log in details and further instructions.

  • CRM Recruit
  • CAS Shield Enroly

Agent Tagging

It is your agency's responsibility to ‘claim’ the student and associated commission and ensure that all the claimed students have your agency's name tagged in their application.

If you are submitting the student application from their CRM Recruit Portal Agency account, there is no need to tag the student as they will already be tagged to your agency.

If you are applying using the student account or the student is applying directly, then they need to add your agency name in the dedicated agent details section of the application form. Agencies should register as the student’s agent at the time of application or within one month of submitting the application to the University.

We have a no change of agent policy for South Asia, so we are not able to switch a student to a different agent for this region.

If you submit a UCAS application on behalf of a student and it is typically not possible to include your agency's details, please email agents@roehampton.ac.uk and notify us that the student has made the application through your agency. You must also submit a letter from the student confirming that they are being represented by your agency. We will, on occasion, undertake spot checks on UCAS applications to ensure that claims for commission are following University guidelines.

From application to commission

Overview

Please see below the main steps from application stage to commission claim stage.

  • Agent submits application via our Online application form.
  • Agent receives a decision for the application and supports student to reach unconditional stage
  • Agent supports student to meet CAS requirement and reach CAS ready stage using Enroly CAS Shield
  • Agent supports student to apply for their Visa once their CAS letter has been issued
  • Student receives Visa and enrols
  • Agent submits commission claim within the timeframe specified in their contract
  • Commission check is conducted and invoice processed within two weeks of submission.

Submitting an application 

To apply please use our Online application form and use the agent log on details you have received from us. If you need an additional agent account craeted for your agency, please do not attempt to create this yourselves. Please contact us with this request.

Admissions

Our admissions process follows a clear and structured approach to ensure transparency and fairness for all applicants. The process starts with an online application which is then reviewed by our admission committee. Our Admission department assesses applicants' academic records, test scores, personal statements, and other relevant factors such as work experience, extracurricular activities, and community involvement. Once a decision has been made, applicants are informed of their admission status.

We also provide support to international students on various admission-related processes such as visa applications, English proficiency requirements, and other relevant matters. We encourage you to contact our International Admissions team with your questions or concerns regarding our admission processes.

Enroly CAS Shield

All students who need a CAS letter and have an Unconditional Firm status, together with their Agents, receive an automated email where they are invited to log on to Enroly CAS Shield. Here the students and Agents can manage their CAS request and upload all the information and documents required.

Enroly CAS Shield Stages explained:

  • Pre-deposit and Post Deposit: Students need to upload the required documents so they can be moved onto Ready for CAS stage. 
  • Ready for CAS: Immigration Team issues the students their CAS letters once their checks are finalised.
  • CAS issued: Once the students have received their CAS letters, they can apply for their VISA. They must update their record on Enroly to keep us informed if they have applied or received their VISA.
  • Visa issued: Once the students confirm they have received their VISA, they are moved to this stage where the enrolment process starts.
  • Deferred: Deferred students
  • Closed and lost: Rejected students

Visa application

Please use this link to access information regarding the Visa application from our Immigration Team. Please note the Home Office changes immigration rules and requirements regularly. Whilst we aim to ensure that the information contained in these pages is kept up to date there may be times when this is not the case. Please do not rely on these pages alone. Enrolment

Once the student’s place to study with us is confirmed they will receive an email from our Enrolment Registry team with simple instructions on how to register. To become registered (enroled), students must complete their online enrolment and attend an on campus in-person identification check when they can also collect their student ID card. 

Commission Claims and Invoicing

Please ensure your claim is sent to us within the time frames specified in your contract. We will endeavour to send you a decision within two weeks of the receipt of your claim and make the payment for your approved invoice within 30 working days after the issuing date.

Please follow the steps below when sending us your commission claim:

Performance reviews

At the end of each year, we go through a performance review for our contracted agents. We look at things like application numbers, enrolments, conversion rates, any issues, and our relationship with the agent.

Based on a two-year review we then decide if we can renew the contract or cease the partnership. At this point we also decide if we can offer a higher commission contract and / or add territories to the contract, based on the agent’s performance and also potential to increase conversion rates.

Compliance

All our Representatives must:

  • complete a recognised UK-facing education agent training qualification. UKCISA, BUILA and UUKi recommend the free British Council Education Agent and Counsellor Training Suite.
  • adhere to the expected standards as set out in “The National Code of Ethical Practice for UK Education Agents (2021)” and any subsequent amendments.
  • adhere to “The Good Practice Guide for UK Education Agents Partnering for Quality”.
  • host the “Student Guide to Choosing an Education Agent” on their website and send a copy to all students who engage their services.
  • read the “UK higher education providers advice on consumer protection law” (CMA Consumer protection Law) and adhere to it.
  • formalise their association with their students through a signed agreement.
  • Stay up to date with the latest regulations regarding university admissions. 
  • Follow ethical practices by providing accurate and honest information to prospective students, ensuring that students are placed in appropriate courses that align with their interests and abilities, and not making false claims or overstating our university's capabilities.
  • Disclose any fees and commission you receive, and any potential conflicts of interest.
  • Protect the personal data of the students and ensure that it is processed in accordance to relevant data protection laws.
  • Adhere to advertising regulations and refrain from making misleading or false claims in advertising.
  • Follow our Visual Identity Guidelines when creating marketing materials on our behalf.

We will undergo random checks to ensure that the National Code of Ethical Practice of UK Education Agents is being adhered to by our agents. 

Student Refunds

To apply for a refund, the student will need to complete the online refund request form. Once they submit their refund request they will receive a notification e-mail with their Refund ID. Our refunds team will process it as soon as possible.

Please note, only payments by Flywire and Convera for the initial deposit payment will be refunded. Any payments by other means, including direct bank transfers, will be non-refundable. 

Full deposits are non refundable. They will only be refunded if the University is not running the course anymore, the student cannot meet the condition of their offer or if the student received a visa refusal (we will not approve a refund if there has been fraudulent documentation or deception as part of the visa application process).

For full deposit payments and full tuition fee payments, all standard payment methods are accepted, including direct bank transfers.
